Birthday invite timing?

I'm in the early planning stages for DD's 4th birthday party, which we'll probably have Sat, Oct. 6. 

The majority of the guests will be her preschool classmates, and since parents don't have access to each others' email addresses, parents tend to paper clip the party invites to each kids' school sign-in sheet. And it seems like 2 to 2 1/2 weeks before the party is the standard lead time. 

Looking at the calendar, I realize we'll be out of town on vacation that entire week, 2 to 2 1/2 weeks prior to the party - Sept. 15 - 23. If we distribute invites before we go on vacation (3 weeks before the party), do you think that's too early? I'm afraid people will forget to RSVP since it's not like an Evite that sends out reminders before the party, but maybe that's just the chance we take.  Any other options/tips? 

We're relatively new to the city, and this is the first time we've had preschool classmates to invite. Of the two preschool parties we've been invited to, one was a "regrets only" type of RSVP, and the other asked for an emailed RSVP if you're attending. I'd like to get RSVPs so I know how much food & party favors to plan for, etc.

  • I'd distribute the invites earlier rather than later so they're at least out, and as it gets closer you can ask parents.

  • I think any time within 2-3 weeks prior to the party is good.  We tend to be pretty busy on the weekends so for me, the more notice the better.  As far as RSVP's, I always ask for them and provide both my email and a my cell #.  Be prepared to need to follow up with people though - I have found that people have gotten very bad at actually responding.  What I have done in the past is list my RSVP date a week out from the party date (or go based on your party location with a day or 2 to spare).  Anyone that I have not heard from a day before the date, I would send a reminder email or if I don't have the email, out a reminder note on the parent folder at my child's school (have only done for daycare/preschool and PreK - would not do this in elementary as I would just email or mail).  I assume if I don't hear from someone that they are not coming and I have never had anyone show up that has not responded.

  • I'd do earlier rather than later. My DD's party was the first weekend in June and we sent ours out the 2nd week in May. I think I got a response from most everyone, some of them within a few days of the invites going out even, and we didn't have any no-shows either.
