I'm furious with DD's pedi office. (Long and venting)

Grace had an echocardiogram a month ago to screen for HCM (which her father has and will have the test preformed again every couple of years).  I was told by the sono tech that the results were going to be sent to a specific pedi cardiologist and the results would be faxed to my pedi's office within 7 business days.  So I patiently waited and waited for the results.

I call the pedi's office yesterday to ask about the results and they told me that the cardioligist hadn't sent them yet but they would give them a call and call me back that afternoon with results.  Waited all afternoon and this morning, no phone call.  I tried calling and the phone just rang, no one ever picked up.  So I went to the office to request the results.  I was seen by a nurse who told me that the hospital never sent them records unless they were requested (lie number 1) I asked why they had not called me back yesterday when they supposedly requested the results from the hospital, she said because they just got them (I saw the results paper, with yesterdays date, they just didn't call so that was lie #2).

So after this frustrating conversation I asked them to give me a copy of Grace's records because I was going to be changing pediatricians.  She said that they could not release them to me.  I asked why not and she said because I would have to pay for them.  I told her I don't care what they cost, I'd write them a check today just give me her records.  She said ok, fill out this form and we'll release them to you.

So I go out in the waiting room, wait 20 minutes and when they called me back the office manager was waiting for me.

The manager asked why I was requesting the records and I told her that I was unhappy that they didn't feel it was important to inform me that my daughter isn't currently suffering from a life threatening condition.  I didn't find it acceptable that I would be forced to worry for a month about this and they should have been more proactive about it.  I informed them that I knew which pedi card reviewed her tests, and the time frame I was given for the results to be faxed to the peds office.  The office manager told me that I was absolutely wrong, that her results were faxed to a completely different hospital, reviewed by whoever could get to them, and that I was lying to her about what the sono tech had told me.

By this point, smoke was coming out of my ears and I was crying I was so furious.  I told them that I didn't care about all of that and I was switching anyway, so give me her records.  This woman had the nerve to tell me that I wouldn't find another dr to take Grace and I was just being irrational.  At that point I started yelling and demanded her records.  I'm not sure of what all I said, but I know it wasn't nice.

Grrr.... this all happened at 3 and I'm still ticked off!

  • Did they give you the records?  I bet that pedi will be mad at his/her office staff!  Sorry you had to deal with that level of ineptitude

    >:( Why was that office manager so ridiculous? And why would she say you wouldn't find anyone to take Grace? That's bullcrap. So many providers seem to forget that they are providing a SERVICE that is paid for, some of them act like they are doing you a fricken favor by seeing you and treating you (I used to work for an insurance company and processed FMLA requests and paperwork for people. You wouldn't believe how rude and terrible some providers were to their patients, or to us, just b/c of a 3 page form). You have absolutely every right to get her records and change peds if they are not treating you the way you deserve to be treated. More people should change doctors when these types of things happen, maybe some of them would learn.

Idk, the town the office is in is small, but there are two other pedi offices.  I have no idea how she could think that a large city like San Antonio wouldn't have a huge list of peds that would be happy to take any child.

Ugh, she probably just didn't want to explain to the pedi that she lost a patient because of the incompetent office staff who lied about when they recieved test results.

  • I would be fuming too! We had one Dr. at the pedi office I go to that was like that and I refuse to have my kids be seen by him!

  • Ugh I'd be SO pissed.  You're her mother, how can they say they can't release her records?!?!

Good for you for sticking up for yourself and switching, that is such crap.

  • Why did they charge you money for the records? You already paid for their service during your visits-----is that normal.  I think that's CRAP!   I'm irritated for you!

I'm not sure why they feel the need to charge me for what I'm legally entitled to, but I'd gladly pay anything to just be done with them and for the peace of mind that my next pedi will have her complete records and get them in a timely manner, because I honestly don't trust our current/former office to send them.

It's common practice to charge a fee for photocopying records, and you usually have to submit a written request.

But the rest of it ... completely insane. I would have lost my sh*t.

I filled out all of the necessary paperwork, it'll take them a week to get them to me.

I tried really hard to hold it together, the office was full of people and I didn't think they all needed to know about Grace's tests, but lord help me I wanted to rip them to pieces.

Many providers charge for releasing records to individuals, but not for releasing them to other doctors.  If you don't want to pay, find your new pedi first and have them request them.

I'm ok with paying for them, I was more upset that they tried to deny me her records all together.  If they hadn't lied to me about when they received Grace's test results then I would just wait til I found a new pedi, but I just can't trust them anymore after this.

Look up the hippa guidelines too for how long they have to give them to you.  Hope you get them quickly though!  The paying for records is common practice though :D

Thats ridiculous! I would get a new pedi too! Too bad you don't live by me, our pedi office here is AWESOME, I know a bunch of people who go here and haven't met anyone who didn't like them! They are great! I hope your next pedi is much better to you and grace! PS- Grace is ADORABLE!

  • OMG, that is crazy!  Sometimes things get delayed but to lie to you, accuse you of lying, and say no one else will take her is beyond unbelievable.  I am so glad you have other options.

You are very nice to have not lost it on them in front of everyone.  Perhaps a letter to the editor of the local paper is in order.  You can't help but wonder what else they screw up.

  • So sorry about this experience.  Just wanted to throw it out there that maybe your pediatrician has no idea that any of this happened.  She/He may never even have been notified that you called the day before.  She/He may not even have known that you were in the office.  Office managers don't always let the nurses or docs know about issues up front.  That office manager handled things very badly.  I would write a private letter to the pedi and let them know how you've been treated.  And of course, switch pediatricians since you are not comfortable with the office.

  • I had a similar experience trying to switch OB/GYB's 1/2 way thru my pregnancy. Impossible to get records released! It took a month of me getting nowhere, finally the new office did it for me in 5 min with a really forceful secretary, and they didn't even charge me like they said they were going to.

The office manager should be more understanding!

I doubt the pedis have any clue, both have been great with Grace, but they will be getting a letter about this.  Just out of curiosity, which pedi do you take V to?
